Privacy Policy

MailToChat ("we", "our", or "the app") is an iOS application that displays your emails in a chat-style interface. We take your privacy seriously. This policy explains what data we access, how we use it, and how we protect it.

1. Information We Access

To provide its core functionality, MailToChat accesses the following data from your linked email accounts:

• Email content – subject, body, sender, recipients, and timestamps of messages in your inbox.
• Email metadata – thread IDs, label IDs, and attachment metadata.
• Gmail labels – read and write, so the app can apply AI-suggested labels to your messages.
• Google account profile – your name and email address, used to identify your account within the app.

For IMAP accounts (Outlook, Yahoo, iCloud, etc.), the app accesses your inbox via the IMAP/SMTP protocols using credentials you provide.

2. How We Use Your Data

• Display – Emails are rendered locally in a chat-style UI on your device.
• AI processing – If you configure an OpenAI API key, the body of your emails may be sent to OpenAI's API for summarisation and translation. This is done only with your explicit opt-in. We do not store these requests on our servers.
• Local storage – Email content is stored on-device using SwiftData (Apple's local database). It is not uploaded to any server operated by us.
• Labels – AI-suggested labels are written back to your Gmail account to help you stay organised.

3. Data Sharing

We do not sell, rent, or share your personal data or email content with any third party, except:

• OpenAI – only if you provide your own API key and enable AI features. Your use of OpenAI is governed by OpenAI's Privacy Policy.
• Google – we access Gmail via the official Gmail API under your authorisation. Your use of Google services is governed by Google's Privacy Policy.

We do not have a backend server. All email data remains on your device.

4. Authentication & Credentials

• Google OAuth tokens are managed by the Google Sign-In SDK and stored securely in the iOS Keychain.
• IMAP/SMTP passwords are stored exclusively in the iOS Keychain and never transmitted to us.
• Your OpenAI API key is stored locally on-device and never sent to our servers.

5. Data Retention

Email data is stored locally on your device and is removed when you delete the app or sign out. We do not retain any copies of your data.

6. Children's Privacy

MailToChat is not directed at children under 13. We do not knowingly collect personal information from children.

7. Your Rights

You may revoke the app's access to your Google account at any time via Google Account Permissions. You can delete all locally stored data by removing the app from your device.

8. Changes to This Policy

We may update this policy from time to time. The "last updated" date at the top of this page will reflect any changes. Continued use of the app after changes constitutes acceptance of the updated policy.
